This notice explains what personal information Access OT collects through this website, why we collect it, and what rights you have over it.
Who we are
Access OT is an occupational therapy practice based in Ireland, provided by Aisling, an occupational therapist registered with CORU (registration number OT039063) and a member of the Association of Occupational Therapists of Ireland (AOTI).
For the purposes of data protection law, Access OT is the data controller for the information described in this notice. You can reach us about anything on this page at accessot123@gmail.com.
What this notice covers
This notice covers information collected through this website — principally the enquiry form. If you go on to become a client, we will give you separate, fuller information about how your clinical records are created, stored, and retained, as required by CORU and by professional standards. That is not covered here.
What we collect
If you send an enquiry through the form on this website, we collect:
- your name;
- your email address;
- your phone number, if you choose to give it;
- your preferred method of contact;
- the message you write to us; and
- confirmation that you consented to us using these details to reply.
We do not ask for health information in the form, and we would encourage you to share no more than you need to in a first message. We recognise, though, that people often describe their difficulties when making an enquiry. If your message includes information about your health, a diagnosis, or a disability, that is treated as special category data and given the additional protection described below.
Why we use it, and our lawful basis
- To reply to your enquiry and discuss whether we are the right fit. Our lawful basis is your consent, and steps taken at your request before entering into a contract.
- Where your message contains health or disability information. Our lawful basis for this special category data is your explicit consent, given when you tick the consent box before sending the form.
- To keep our own records of enquiries we have answered. Our lawful basis is our legitimate interest in running the practice responsibly.
We do not use your information for marketing, we do not add you to a mailing list, and we do not sell or share it for advertising.
Who else handles your information
Enquiries sent through this website are delivered to us by email. To do that, we use the following service providers, who act on our instructions:
- Resend — delivers the enquiry from the website to our inbox.
- Our email provider — stores the enquiry in our inbox once it arrives.
- Our website host — serves this website and processes the form submission in transit.
Some of these providers are based outside the European Economic Area, or may store data outside it. Where that is the case, the transfer is covered by the European Commission’s standard contractual clauses or another safeguard permitted under Chapter V of the GDPR.
We may also share information where we are required to by law, or where there is a serious and immediate risk to your safety or someone else’s. If that ever arises, we will tell you unless we are legally prevented from doing so.
How long we keep it
If your enquiry does not lead to us working together, we delete it within 12 months. If you do become a client, the enquiry becomes part of your client record and is kept under the retention periods set out in the client information we give you at the start of working together. You can ask us to delete an enquiry sooner at any time.
Cookies, analytics, and tracking
This website sets no cookies. It uses no analytics, no advertising or tracking pixels, and no social media plug-ins, and it loads no fonts, scripts, or other files from third-party servers. Nothing about your visit is recorded in your browser, and no third party is told that you visited.
Because of this, there is no cookie banner and no consent to manage. If we add analytics in future, we will update this notice and ask for your consent first where the law requires it.
The links to the AOTI and CORU websites in our footer are ordinary links. Nothing is sent to those organisations unless you choose to click through, and their own privacy notices apply once you do.
Keeping it secure
This website is served over an encrypted connection (HTTPS), and enquiries are transmitted over encrypted connections to our providers. Access to our inbox is restricted to the practice. Please bear in mind that ordinary email is not fully secure end to end, which is another reason to keep first messages brief.
Your rights
Under the GDPR and the Data Protection Act 2018 you have the right to:
- ask for a copy of the personal data we hold about you;
- have inaccurate information corrected;
- ask us to delete your information;
- ask us to restrict how we use it, or object to our using it;
- receive your information in a portable format, where that right applies; and
- withdraw your consent at any time, which will not affect the lawfulness of anything done before you withdrew it.
To exercise any of these, email accessot123@gmail.com. We will respond within one month. There is no charge, and you do not need to give a reason.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Data Protection Commission, Ireland’s supervisory authority, at dataprotection.ie.
This website is not a crisis service
The enquiry form is not monitored continuously and is not a way to get urgent help. If you or someone else is in immediate danger, call 112 or 999, contact your GP, go to your nearest emergency department, or call the Samaritans free on 116 123.
Changes to this notice
If we change how we handle your information, we will update this page and change the date at the top.
